In the world of logistics and industrial supply, there is a critical moment where operational efficiency meets administrative reality: product delivery.

Imagine a typical operation: a truck arrives at a facility, unloads 20,000 liters of diesel, the responsible party signs the delivery note, and the process moves on. However, at the end of the month, when the consolidated invoice is issued, questions arise: “Is this signature real?”, “Was the volume modified after delivery?”, “Why is there a discrepancy between what I received and what I’m being billed?”

What began as an operational process turns into a financial and legal discussion.

To address this challenge, OfficeTrack has introduced a game-changing feature: ISO-standard Digital Certification.

More than a signature: Integrity and Trust

As María del Rosario Gutiérrez (General Manager for Colombia, North America, and Argentina at OfficeTrack) highlighted during the OfficeTrack Summit 2026, the real value lies not only in capturing a signature, but in ensuring that the document remains tamper-proof.

What is PDF/A Digital Certification?

Unlike a simple image-based signature, the new solution presented by Nicolás Giglio leverages the international PDF/A standard. This ensures that every field-generated report includes:

  • Entity Validation: The document is backed by a certifying authority, granting it legal and contractual relevance.
  • Timestamp: A digital seal that proves exactly when the document was issued and signed, with no possibility of manual alteration.
  • Immutability Guarantee: If anyone attempts to modify even a single detail in the PDF (such as fuel volume or date) after it has been signed, the PDF reader will flag it as altered, invalidating the document’s integrity.

Benefits for Heavy Industry and Supply Operations

Implementing this technology across sectors such as oil & gas, mining, and large-scale logistics delivers immediate competitive advantages:

  • Elimination of administrative friction: With an irrefutable document from the outset, invoice reconciliation becomes automatic and dispute-free.
  • Legal and contractual support: Reports evolve from simple records into legally valid evidence.
  • Full transparency: Both the supplier and the end client receive a certified copy, strengthening trust across the commercial relationship.

How it works in practice

From the OfficeTrack mobile app, the operator records the delivery (e.g., volume, fuel type) and requests the client’s signature. Once submitted, the system automatically generates a certified PDF report in the back office.

This file can be downloaded individually or in batch reports—ideal for companies managing multiple daily deliveries and requiring consolidated audits at the end of the day.

Conclusion

Digitalization is no longer just about going paperless. It’s about ensuring that the information flowing from the field to the office is 100% reliable.

With OfficeTrack’s new Digital Certification feature, your operation becomes not only faster, but also legally robust and protected against fraud and human error.
