During the OfficeTrack Summit Latam 2026, Jair Paván, Project Manager at Mayekawa, shared how the company evolved from a heavy, manual operation into a smart, automated management ecosystem.

The Challenge: The Burden of Paper in a Global Operation

Mayekawa manufactures compressors used in nearly every industrial segment, including food, beverage, chemical, and petrochemical. In Brazil alone, the company operates with 125 technical assistance employees, 16 branches, and over 90 field technicians who generate more than 400 monthly reports.

A few years ago, their reality was starkly different:

  • Manual Reporting: Technicians spent up to an hour handwriting reports on-site.

  • Inefficient Workflows: Reports had to be scanned and emailed just for the head office to receive the information.

  • Static Data: Vital technical and sales information remained “trapped” in paper or PDF files, making it impossible to analyze.

“I worked in the field back then, and I remember losing an hour just writing so I could later scan the report. It worked, but it was incredibly inefficient,” Paván recalls.

The Solution: End-to-End Digital Transformation

Working alongside 3con (OfficeTrack’s partner in Brazil), Mayekawa implemented a solution that seamlessly integrated their ERP with field management. The workflow became circular and automated:

  1. Automated Task Creation: The sales team closes a deal in the ERP, and a task is automatically generated within OfficeTrack.

  2. Advanced Team Management: Coordinators now have total visibility, knowing exactly where the 90 technicians are located and who is closest to the next service call.

  3. Field Execution: Technicians complete reports with photos and digital signatures directly from the app with just a few clicks.

  4. Instant Billing: Once a task is finalized, the data syncs back to Mayekawa’s system, allowing for immediate customer billing.

The “Double Surprise”: Beyond Simple Reporting

What started as a search for digital documentation ended up transforming Mayekawa into a truly Data-Driven organization:

1. Total Fleet Control

The first surprise was the sheer power of the platform as a team management tool. Beyond digitizing paper, it provided geographic and operational visibility that Mayekawa hadn’t anticipated, drastically optimizing technician travel times.

2. The Power of TDI (Task Data Integration)

Mayekawa pioneered the use of TDI, a tool that extracts every field completed by a technician and converts it into a dynamic database.

  • Power BI Integration: They now analyze administrative data (man-hours) alongside technical data (oil types, motor specs, operation times).

  • Proactive Maintenance: By analyzing compressor run-time data directly from field reports, Mayekawa can now contact clients to offer maintenance before a failure occurs.
