To improve the operational efficiency of the company, speeding up the process of expenses report for the trips of technicians to different parts of the country as required by the projects they carry out.
IMEXTEL’s initial process considered the construction of surrender sheets and annexing to them the physical evidence of each expense, and only waiting for the technician to return to the head office to present it and perform the quadrature of expenses, delaying his hindering the reaction to unforeseen expenses during the trip.
A free form was implemented for the registration of each of the daily expenses of the technicians, which in turn generate a personalized and individual expense report. The most important part of the solution considered concentrating the expenses of all technicians on an external WEB report, which has several filters and allows grouping by Expense Type, Technician, Dates and others, and automatically calculating the total, and allowing also reviewing the customized report if there are doubts about the detail of expenses.
This made it possible to expedite surrender and react quickly in case technicians have eventually spent
their daily travels.
The implementation of OfficeTrack, and expense reporting, made it possible to significantly expedite the quadrature of expenses, reimbursement of extra expenses or discounts on wage payroll, which helped to improve expense control.
